The type of personal information we collect
We currently collect and process the following information:
· Personal identifiers, contacts and characteristics (for example, name and contact details).
· Permission and consent forms for those attending our groups to help us care for and keep everyone safe.
· DBS and references from volunteers in order to keep everyone safe.
· Photographs and videos of those who come to our groups (and give consent) in order to show others what our groups and events are like.
· Email addresses for those subscribing or attending groups or events in order to notify them of the groups, cancellations or other events they may be interested in.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
· To contact you about bookings for groups and events.
· To provide any necessary care for people attending site for groups or events in the case of an emergency.
We also receive personal information indirectly, from the following sources in the following scenarios:
· Schools that we work with about children we may have in our care. In these circumstances we keep the information we collect to a minimum and hold it only for as long as it is necessary.
We use the information that you have given us in order to:
· Contact you about other events you might be interested in. We keep this contact to a minimum.
· Care for you or people in our care connected with you.
We may share this information with partner organisations or emergency services only when completely necessary to keep you safe and never for marketing or other reasons.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. This applies if you have not attended any groups and simply signed up to our mailing list. In this case you are able to remove your consent at any time. (b) We have a contractual obligation. This applies if you have worked for us. In this case you are able to remove your consent 5 years after your contract has finished providing there are no outstanding issues. (c) We have a legal obligation. This may apply for several reasons. In this case you are able to remove your consent when we no longer have a legal requirement to keep your information. Your information is securely stored.
We keep your information only for as long as we need. We will then dispose your information by deleting it.
